How to Attach Documents in Email Templates

Learn how to attach documents to your ZenMaid automated email templates.​

Accessing the Email and SMS Notifications Page

  • From your ZenMaid Dashboard, open Settings, then select Email and SMS Notifications under Features.


Attaching A Document To Your Template

Important

These templates include a PDF attachment:

  • Cleaner Cancellation Notice

  • Appointment Confirmation

  • Appointment Follow-Up

  • Service Rating

  • Appointment Cancellation Notice

  • Come Back

  • Property Manager Marketing

  • Real Estate Marketing

  • Booking Confirmation

  • Estimate

  • Estimate Confirmation


These templates do not include a PDF attachment:

  • Work Order

  • Invoice Notification

  • On the Email and SMS Notification page, scroll down to find the template where you want to add the attachment.

  • Click the status box (e.g., “Not sent” or “Sent semi-automatically”) under the Email column to open that template.

  • The email template will open. Scroll down and select Add Attachments.

  • In the pop-up window, choose the document you want to attach.

  • Once it's added, click Save to apply your changes.


Obtaining a Link For Your Email Template

Important

  • When sharing documents through a link, make sure to:

1. Ensure your document is stored online (e.g., Google Drive, Dropbox).

2. Confirm link-sharing permissions are set to allow recipients to view or download.

  • Obtain the shareable link of the document you want to share and copy it.

  • If you're using Google Drive to store files online, go to your Google Drive and create the document you want to attach.

  • If the file has already been uploaded, click on the “Share” button.

  • Choose your preferred sharing option, click Copy link, then click Done.


Attaching The Link to Your Email Template

  • From the Email and SMS Notifications page, return to the ZenMaid email template where you want to add the link.

  • In the email body, type the text you want to turn into a link for your document.

  • Highlight the text, then press Ctrl + K on Windows or Cmd + K on Mac.

  • You can also click the link button.

  • A new window will appear where you can paste your document URL.

  • Lastly, click on the Save button.
