How To Create a Cancellation Report

Learn how to track canceled customers in ZenMaid through exports, filtering data in spreadsheets, and reviewing lost revenue through the List View.

Summary

  • You may want to run a report of your cancelled appointments for several reasons. Here are a few examples:

1. To identify customers who frequently cancel.

2. To evaluate the potential revenue that could have been earned.

3. To follow up and re-book customers who cancelled.


Exporting Data

  • From your ZenMaid Dashboard, go to the All Reports page.

  • From the All Reports page, select the Export Contacts option.


Fields or Columns Needed

  • To run a cancellation report, you'll want to export contacts with the following fields:

1. Full Name (to identify who became former).

2. Type (to find former customers only)

3. Most Recent Clean (to find when they became a former customer)


Filtering Data

  • From there, upload this data to a spreadsheet.

  • On the spreadsheet, remove the leads, one-time/recurring customers, and any dates you do not want to see under the Created On column. Once done, you'll be left with how many cancelled/former customers you have in the date range of your choice.

Using the List View

  • To have an overview report, head to Calendar and select List View.

  • Next, select the Cancelled status and set your desired date range. The potential lost revenue will be displayed on the left under the 'Search' section.

  • Using the List View to view lost revenue for multiple appointments will generate several pages, which you can scroll through at the bottom of the screen.

  • Each page displays 50 appointments, and the totals at the top reflect only the appointments on that page. To find the total of lost revenue, you can sum the totals from the top of each page.

Side Note

  • While this example focuses on Cancelled Appointment Statuses, you can generate the same overview report for any other status, such as "Active," "Locked Out," or "Completed" Appointment Statuses.
