This article covers how to connect ZenMaid with your other tools using Zapier, which triggers and actions are available, and what plan requirements apply on both the ZenMaid and Zapier side.

The Zapier integration is only available on the Pro Max plan. If your account is on a lower plan, the integration will be locked and you will see a prompt to upgrade to Pro Max instead of the Zapier settings.

Some third-party apps are Premium Zapier apps and require a paid Zapier plan in addition to your Pro Max plan. These include:

Premium apps are available on Zapier’s paid plans or during a Zapier free trial. They will not run on Zapier’s free plan.

ZenMaid does not publish a public API on its own website. It offers no REST endpoints, webhook subscriptions, or programmatic data access for third parties or your own developers. ZenMaid’s triggers and actions are available only through the Zapier integration.

ZenMaid does not offer two-way calendar synchronization with third-party calendars such as Google Calendar or Apple Calendar. ZenMaid is designed to be your primary scheduling system.

ZenMaid does offer a limited Zapier integration with Google Calendar. Each Zap runs in one direction only, so an appointment created in ZenMaid can create an event in Google Calendar, but later updates, edits, or deletions will not flow back. Zapier has no built-in two-way calendar sync.

Before contacting support, verify your Zap configurations, test functionality, and review field mappings between ZenMaid and Zapier.

On the All Integrations page, under Your Settings, you can access Zapier directly from your ZenMaid account.

Copilot offers two modes. Choose Ask as you build if you want to confirm each step, or Auto-build if you want Copilot to set the Zap up on its own.

Check your field mappings before turning the Zap on. Copilot may not fill in every required ZenMaid field.

Log in to your Zapier account.

You’ll land on the main “What would you like to automate?” dashboard.

Locate the Zapier Copilot search bar at the top of the page.

Type a sentence describing the automation you want. For example:

Automatically importing leads or appointments from apps like HomeAdvisor, Google Calendar, or iCal isn't possible unless the app connects to Zapier. If your software doesn't connect to Zapier but can export your data, our team can import that export into your ZenMaid account for you.

iCal is a file format, not an app, so you cannot import an .ics file into ZenMaid. Calendar apps that export to iCal, such as Google Calendar or Outlook, do connect to Zapier.

If your software does not connect with Zapier and an export can be run, our team can take that data export and add the information to your ZenMaid account.

Validate Data Mapping: Check that all fields in the Zap workflow are correctly mapped to their intended destinations in ZenMaid.

Run Regular Tests: Periodically test Zap workflows to verify they function as expected.

Document Integration Changes: Maintain records of any updates or changes made to Zap configurations.

Seek Help When Needed: Contact ZenMaid or Zapier support for assistance if the troubleshooting steps do not resolve the issue.
