How To Send A Receipt

Learn how to send payment receipts to your clients using ZenMaid or third-party payment platforms, including Stripe, Square, PayPal, Zelle, Venmo, and Cash App.

  7. Cash App: Provides monthly statements showing balances, fees, and transaction history, available in-app within five business days after month-end.

Sending a Receipt Through Square

Important

When payments are processed through ZenMaid's Square integration, Square treats them as external transactions and does not send an automatic receipt. To send a receipt, you will need to do so manually or use a ZenMaid paid invoice as an alternative.

To send a receipt manually

  • In the Square app, go to Transactions, locate the payment, and tap New Receipt.

  • From the Square Dashboard, go to Transactions, find the payment, click it, and choose Send Receipt under Actions.


Sending a Receipt Through Stripe

Automatically send receipts

  • In your Stripe Dashboard, click the Settings (gear icon) > Business settings > Customer emails, then toggle on Successful payments. This sends automatic email receipts after each successful payment (you can also toggle on Refunds if desired).

Customize receipts

  • In Dashboard Settings > Business > Branding, you can upload your logo and brand colors to tailor the appearance of email receipts.

Manually send a receipt

  • Via Dashboard:

    • Locate the customer under the Customers tab, open their payment, then click the Send receipt option.


Sending a Paid Invoice as a Receipt

You’ll need to create an invoice first. To learn how to create one in ZenMaid, please see our step-by-step guide here:


  • After creating an invoice, you will be prompted to send it. To manage the invoice instead, click the exit button in the top right corner of the pop-up window.

  • In the next invoice window, click Mark as Paid.

  • When sending the paid invoice, you can include a short message letting your client know their payment has been received, thanking them for their prompt payment, and confirming any upcoming appointments or services.


What Your Customer Sees

  • If you send the paid invoice from ZenMaid, your client will receive an email confirmation that the invoice is paid.

  • The invoice inside ZenMaid will show PAID.

  • The downloaded PDF invoice does display "Paid".


Sending a Receipt Through PayPal

  • When customers pay via PayPal, they automatically receive an email receipt showing the payment amount, transaction ID, date, and seller details. They will also see a payment confirmation screen immediately after checkout with an option to print or save it.

  • If a customer needs another copy, you can go to your PayPal Activity tab, open the transaction, and either print it or forward the details to them. For payments processed through PayPal’s Virtual Terminal, you can enter the customer’s email on the confirmation screen to send the receipt manually.

Accessing a Receipt Through Zelle

Important

  • Zelle’s process and your bank’s interface may change over time. If these steps are no longer accurate, please let us know at support@zenmaid.com so we can update our guide.

  • Customers who want a Zelle payment receipt can log in to their bank’s mobile app or online banking account. From there, they can navigate to the Zelle, Transfers, or Send Money section and open the Activity, Transactions, or History tab. By selecting the specific payment, they can view details such as the date, amount, recipient, and any notes. Many banks allow these records to be downloaded or printed for easy storage, retrieval, or sharing.


Sending a Receipt Through Venmo

  • After completing a Venmo transaction, you can enter the customer’s email address in your Venmo app to send a digital receipt. This receipt will include details like the transaction amount, any sales tax applied, your business contact information, and a QR code the client can share with you if they need to request a refund.


Accessing a Receipt Through Cash App

  • Receipts in Cash App are provided as monthly statements, which become available within five business days after the end of each month. If your customers want to view their monthly statements in-app, they can follow these steps:

  1. Tap the Profile button on the Cash App home screen

  2. Select Documents

  3. Tap Account Statements

The statement will include details such as the starting and ending balance for the month, fees, full transaction history, and direct deposit information.
