Summary
This guide walks you through how to access and personalize your invoice settings in ZenMaid to match your business branding and payment preferences.
Important
The tipping section is only available when a credit card processor is active in ZenMaid.
Cleaners are only notified of a tip if it's added through the dedicated request tipping feature. Tips entered manually by the office or through the invoicing feature do not trigger any notifications.

Accessing Your Invoice Settings
From the ZenMaid Dashboard, click on the Settings icon.
Under the "Client Billing" section, click on Invoicing.
Customizing your Invoice
Important
New accounts start with a default invoice template. You can fully customize this to match your company’s branding and communication style.
From the Invoice appearance and content section, click Customize.
From the Customize Invoice Appearance window, you can customize the following:
1. Logo
Choose whether to display your company logo on the invoice. You can change your business address and name under your business details settings.
2. Brand Color
Set a custom brand color using a HEX code (e.g., #e30000 for red), or select a color using the built-in slider.
3. Business details
This section isn’t editable here, but any updates made to your company name, address, phone number, and email in the Business Details settings will automatically reflect on your invoices.
4. Default Issue and due Date
Set the number of days after the issue date that the invoice will be due.
5. Invoice Tax Lines
Choose whether to display or hide tax lines when the tax rate is 0%.
6. Invoice Document Title
Change the title that appears at the top of your invoices.
7. Invoice Footer Notes
Add a custom message at the bottom of every invoice.
This section allows you to add a custom message at the bottom of every invoice. It’s a great space for final reminders, payment instructions, or personal touches.
You can include payment links or details, such as links to Cash App, your bank’s payment portal, or any third-party service you use to accept payments. For example: https://cash.app/$YourBusinessName.
If your clients prefer to pay via direct bank transfer (ACH), you can also include your routing and account numbers here.
A warm closing note, such as "We appreciate your business!" or "Thanks for trusting us with your home!" goes a long way in strengthening client relationships.
You can use this space to promote a referral program. For instance, “Refer a friend and get 10% off your next cleaning.”
It's also a great spot for a soft payment reminder, something along the lines of "Payment is appreciated within 14 days to help avoid late fees."
Lastly, It's also worth using this space to restate your customer support number or email, so clients know exactly who to reach out to with any questions about their invoice.
8. Saving
Once you're done customizing, head to the bottom of the "Customize Invoice Appearance" window and click the Save button to apply your changes.
Configuring Your Payment Methods
On the Payment methods section, you'll choose how you'd like your customers to pay their invoices.
In the Payment methods section, select one of the following options:
1. Online with credit card
Allows clients to pay instantly through integrated payment processors (e.g., Stripe or Square). This is the most seamless option for online payments.
🟢 You can connect to Stripe or Square via the Credit card processing page.
2. External Payment Link
If you're not using a credit card processor, you can allow your customers to pay through third-party services like PayPal, Venmo, or a custom link.
🔴 Do not add the “@” at the beginning. The system adds it automatically in the background.
Use this for any other online payment service (e.g., Zelle, CashApp, or your bank portal). Enter a full URL (e.g.,
https://payment.example.com/yourcompany)
4. Saving
Once you've selected your preferred option, click the Save changes button to apply it.
Enabling or Disabling Cleaner Tips Collection
In the Cleaner Tips Collection section, you can view whether tipping is currently enabled or disabled. To make changes, click the link to the Cleaner Tips Settings page.
Customizing Invoice Communication Settings
ZenMaid allows you to control how invoice notifications are sent to your customers via email and SMS.
