Summary
This article covers how to run the Clocked Hours Report, which shows when your cleaners clocked in and out for each job compared to the scheduled times. Use it to check hours for payroll, spot late arrivals or early departures, and see how your team's time is really spent.
Important
Running this export requires export access. Account owners can always run it, while office managers can run it only if the owner has enabled the "admins can export data" permission. Regular staff accounts typically don't have access to run exports.
If your plan doesn't include data exports, you'll see an upgrade prompt instead of the export option. Reach out to ZenMaid support if you're not sure what your plan includes.
Understanding What the Report Shows
For every appointment in the date range you choose, the report can include:
The customer's name and the appointment date.
The scheduled start time and scheduled duration.
The actual clock-in and clock-out times, along with whether they were entered via the mobile app or manually by an office manager.
The total clocked hours for the appointment, shown as a decimal (for example, 2.5 hours).
The appointment price, if you choose to include it.
Side Note
If a cleaner never clocked in or out for a job, the report shows "No data" for that appointment instead of estimating.
Accessing the Clocked Hours Report
Click Reports in the main menu.
Scroll down to the Hours section.
Click Clocked Hours per Customer & Cleaner to open the export popup.
Setting Up Your Export
Choose your date range. It defaults to the last 30 days, but you can select any range, such as a specific pay period.
Select One column only to get a single flat list of every appointment, useful for a quick total of hours across your whole team.
Select Grid format to get one column per cleaner, useful for viewing and totaling each cleaner's hours separately.
Check Include appointment price to add the price of each job to the export.
Check Include clock in and out times to add the exact times each cleaner clocked in and out.
Check Include clocked duration to add the total hours worked per appointment.
Click Export to .csv to download the file.

The exported file opens in Excel, Google Sheets, or Numbers.
Getting the Most Out of the Report
Use the Grid format at the end of a pay period to see and total each cleaner's hours side by side.
Turn on Include clocked duration to have the report calculate total hours for you instead of subtracting clock-in from clock-out yourself.
Run the report weekly or per pay period rather than waiting until the end of the month. It's much easier to catch and fix a missing clock-in the same week it happens.
Troubleshooting Missing Clock Data
The report is only as good as your team's clock-ins. If you're seeing a lot of "No data" entries, check the following:
Make sure your cleaners are clocking in and out through the ZenMaid mobile app when they arrive at and leave each job.
Add or correct clock times manually if a cleaner forgot. Account owners and office managers can do this.
Review your Clock Time Restriction setting, which controls how early or late a cleaner can clock in relative to the scheduled time (for example, same day only or within 15 minutes of the shift). A very strict setting can prevent cleaners from clocking in outside that window, which can also lead to missing data.
