How to Manage Your Bookings

Learn how to view, manage, and convert booking form inquiries into contacts, appointments, or subscriptions from the All Bookings page.

Summary

  • In this article, you will learn how to check the bookings that are made from your booking form. You will also learn how to convert your booking inquiries to contacts or appointments. Once the person books, depending on how you set up the booking form and the information that the customer puts in, you will have a few options for you on the bookings dashboard.

Important

  • If the customer selects a recurring service when booking, you will not see the "Convert to Appointment" option. If, for any reason, you want to create a one-time appointment instead of a recurring service, you must first click "Convert to Subscription". Once the subscription is created, you can cancel it and then manually create a one-time appointment for that customer.


Accessing And Understanding Bookings Tabs

  • On the dashboard, click on Bookings > All Bookings from the left side panel.

  • The next page will show you three tabs:

    • Pending tab - This tab has all the new inquiries from your booking form that you have yet to contact.

    • Confirmed tab. - All confirmed inquiries will go here.

    • Archived tab. - All rejected inquiries will go here.


Managing Pending Booking Inquiries

Convert to Appointment

  • The Convert to Appointment option means the customer selected a date and time for a one-time service and did not choose a recurring option. Clicking the Convert to Appointment button will add them as a one-time customer, and the appointment will appear on the calendar once.

  • To have this option available to you, you'll need the Appointment time element.


Convert to Subscription

  • The Convert to Subscription option means the customer selected a date and time for a recurring service, such as monthly or bi-weekly. Clicking the Convert to Subscription button will add them as a recurring customer, and the appointment will appear on the calendar multiple times based on their chosen frequency.

  • To have this option available to you, you'll need the Appointment time element and the Recurrence options element.


Convert to Lead

  • The Convert to Lead option means no date and time were selected or available on the booking form. Clicking the Convert to Lead button will add the customer as a lead. You can then create an appointment or an appointment series after contacting the customer.


Archive

  • You can also edit the booking information after contacting the customer, or click Archivar to archive the inquiry.


Receiving notifications for new bookings

  • To receive email and text notifications about new bookings, select that option in the Settings tab when editing the booking form.

  • In addition to email and text notifications, you will also receive a notification from the mobile app if you are logged in.
