By the end of this article, you'll know how to use our new digital cleaning checklist feature.
Important
Only one checklist can be assigned per appointment.
Checklists are built and completed by your staff inside ZenMaid. You cannot assign a checklist directly to a customer record, and clients do not have an editable view of the checklist.
You can share a read-only copy of a checklist with a client using a share link, and you can include that link automatically in email or text templates.
Creating a Checklist From Scratch
Navigate to the Checklists page to create a new checklist from scratch.
Enter a name for your checklist.
Add the necessary sections.
Include the items you need.
Don't forget to save your checklist.
Use a Template (Optional)
Alternatively, you can create a checklist using templates from million-dollar cleaning businesses.
Choose a template that suits your needs.
Name your checklist.
Remember to save your work.
Managing Checklists
From the Checklists page, you can archive, duplicate, edit, or assign checklists to appointments.

Assigning a Checklist to Staff Appointments
Important
Whichever path you use, choose whether the checklist applies to that appointment only or to that appointment and all future appointments in the recurring service.
From the Checklists page, click Assign on the checklist you want to use, then select the appointment.
From the Checklists page, click Assign on the checklist you want to use, then select the appointment.
From your calendar, open an appointment and click Assign a checklist.
When assigning from an appointment, create a new checklist from scratch, create one from a template, or assign an existing one.
Select This appointment or This and all future appointments to confirm the scope.
Completing a Checklist
To fill out your checklist, click on Details from the appointment sidebar.
Check individual items or bulk-check the whole section.
Side Note
When a cleaner marks an item as completed, the system displays the cleaner who completed it along with the exact time it was marked, as shown in the screenshot.

Sharing a Checklist
Important
The shared page is read-only. Your client cannot check items, and the page does not show which cleaner completed each item or any internal comments.
An appointment link always reflects current progress. If your staff completes more items after you send the link, the client sees the updated progress when they reload the page.
Sharing an appointment checklist
Open the appointment and, in the Checklists section, click Share.
Select Copy link to copy the link and paste it into an email or text, or select Print to open a printable version.
The shared page shows completion progress, the appointment date and time, and the assigned cleaner. Use this to show a client what was completed.
Sharing a blank checklist
Go to the Checklists page and, on the checklist you want to send, click Share.
Select Copy link or Print.
The shared page shows a blank copy of the checklist with all items unchecked. Use this to show a client what a service includes.
Side Note
To include the appointment checklist link automatically in your customer communications, add the
{{appointment.appointment_checklist_link}}variable to an email or text template.
