How to Record a Cleaner’s Non-Default Pay Rate for Payroll Reference

Learn how to list pay rate information on an appointment that only you can see and manage.

Summary

  • You can use an Appointment Custom Field to record a cleaner’s agreed-upon pay rate for a specific job without making that information visible to the cleaner. This allows you to accurately reference the rate later when running payroll.

Important

  • The Custom Field must be hidden from cleaners

  • This method is best for job-specific or variable pay rates

  • The pay rate entered here does not automatically apply to payroll. You will reference it manually.


Accessing The Appointment Custom Field Page

  • From your ZenMaid Dashboard, go to Settings

  • Within Settings, go to your Appointment custom fields page.


Creating a Hidden Appointment Custom Field

  • From the Appointment custom fields page, create a new Appointment Custom Field.

  • Name the field CLEANER PAY RATE and set it as a short text type.

  • Set the field visibility so it is hidden from cleaners

  • Once the Appointment Custom Field is created, click on the Save Changes button.

Enter the Pay Rate on the Appointment

  • When creating or editing an appointment:

1. Locate the CLEANER PAY RATE Custom Field

2. Enter the agreed-upon pay for that cleaner on that specific job

3. Save the appointment

  • This ensures the pay rate is tied directly to the job.


Review the Pay Rate During Payroll

  • Go to Payroll

  • Select the cleaner

  • Open the relevant appointment

  • From here, you can view all appointment details tied to that payroll entry.


Referencing the Appointment Notes to Apply the Pay Rate to Payroll

  • Click on Appointment Notes

  • Locate the CLEANER PAY RATE Custom Field

  • Review the pay rate you previously entered

  • This confirms what was agreed upon for that job before issuing payment.

  • From there, click the Edit button for the appointment

  • Enter the wage based on the CLEANER PAY RATE

  • Save your changes

  • The updated wage will now reflect correctly in the cleaner’s pay.
