Adding a Note as a Cleaner
On the mobile app, your cleaner needs to select the appointment they want to leave a note. They need to scroll down to the Notes section and click the pink text Leave a note.
If the service is a one-time appointment, they will see something like this:
For recurring services, cleaners have the flexibility to decide whether the note should be visible on all future appointments. If they opt to "Show on recurring appointments," the note will appear on every subsequent service. Otherwise, the note will be specific to the current appointment only.
After typing in and/or attaching a picture, they need to click "Create".
Finding a Note Added by a Cleaner
Option 1: Appointments
To check the notes left by your cleaner for a specific appointment in ZenMaid, follow the steps below.
1. Go to the Calendar View from your ZenMaid dashboard.
2. Click on the appointment you want to review. This will open the appointment sidebar.
3. Navigate to the Notes section.
4. In the Notes section, you can view any notes your cleaner has left about the job.
Option 2: Notifications
When a cleaner adds a note from the app, you will get a notification on the top right. Look for the 🔔 symbol.
Additional Information
After a note is added, cleaners can only edit or delete notes they created themselves. The account owner and office managers can edit or delete any note, regardless of who added it.
Keep note on all appointments or just this one: When editing a note, use the Keep this note on all appointments of this recurring service checkbox. Leave it checked to apply the note across the recurring series, or uncheck it to keep the note on the selected appointment only.
Switch between appointment and customer notes: The Notes widget is split into Appointment and Customer tabs. Appointment notes are tied to the selected appointment, and Customer notes are tied to the customer profile.
Make note private: When editing a note, check Make this note private (visible by your office only), or select Change to visible to office only from the note's menu. Private notes are visible to the note's author, the account owner, and office managers.
Edit note: If a detail was missed or a picture needs to be attached, the note can be edited.
Delete note: Cleaners can only delete notes they added themselves. The account owner and office managers can delete any note.
If you hover over the creation date of the note (e.g., "Created 3 weeks ago"), a pop-up should appear with the exact timestamp.
