How to Manage Cleaner Visibility on Mobile App and Work Orders

Learn how to control what cleaners can see in the mobile app and Work Orders through permissions, email templates, and field visibility.

Accessing the Cleaner permissions Page

  • Locate Settings ➡️ Cleaners ➡️ Cleaner permissions

  • There, you can choose to hide or show customer contact information (email and phone number) and appointment prices.


Controlling Customer Phone Number & Appointment Prices

  • On the Cleaner permission page, you can choose between the following options.

Data Export

1. Allow office managers to export data

Appointment prices

1. Allow office managers to view appointment prices

2. Allow all cleaners to view appointment prices

Contact information

1. Allow all cleaners to view customer contact info

Set customer last name visibility:

a. Show customer last name

b. Hide customer last name

c. Show customer last name initial only

Limiting Schedule Visibility

  • While you are here on the Cleaner permissions page, you can also limit the cleaner's view of appointments they are assigned to in the future and the past. This means you can select how many days ahead or prior they can see the appointments. You can also limit the cleaner's ability to clock in/out.


Preventing Clock In

  • You can either restrict staff from clocking in until a set amount of time before the appointment or allow them to clock in at any time.


Editing Work Order Email Template Details

  • In addition, you may also need to review the price and customer contact info {{variables}} in your Work Order email template.

  • Locate the Work Order email:

  • Scroll down and delete the {{variables}} you'd want to hide from the Body section, such as the Customer Contact Information and Balance Owed.

  • If you want this information added and you do not see it in the body of the email, click on the {} Add a title variable or contact support.

  • You can make Appointment and Customer notes private (Viewable only by Office Managers) when creating them in the Notes section of the appointment side panel:
