Create An All Day Appointment For Cleaners To Clock In & Out from

If you do not want cleaners clocking in & out of each appointment or if you have office staff, this is another option.

Summary

  • In this article, you will:

1. Create a single “all-day” appointment

2. Assign the relevant staff member

3. Use that one appointment for one clock-in and one clock-out

Important

Before setting this up, please note:

1. Cleaners and office staff can only clock in and clock out once per appointment

2. An all-day appointment does not allow multiple clock-ins for lunch breaks or leaving and returning

3. This setup is designed for logging one continuous work period (for example, 9:00 AM – 5:00 PM)

  • If you need to track breaks or multiple in/out times, you must create separate appointments for those periods.


Limitations to Be Aware Of

  • This setup does not support:

1. Lunch breaks logged separately

2. Leaving and returning multiple times

3. Multiple clock-in / clock-out entries on the same appointment

  • If those are required, the correct approach is to create separate appointments for each work block or break


Creating a Fake Customer & Appointment

  • From your ZenMaid Dashboard, create a new customer by going to Contacts > Add New Contact.

  • Come up with a fake customer's name, such as Daily Shift.

  • Add a fake address or your company's address.

  • Click the Save button at the bottom.


Create a Custom Appointment Status

  • After creating a fake customer & appointment, go to Settings > Calendar.

  • Go to the Status section and click on the +Add Status button.

  • Name the new appointment status relevant to you so that it will let you know that it's for the fake account(s) you made, such as Daily Shift.

  • Drag it down under the Active status so it does not show as the first status when you create new appointments. Use the up/down arrows next to the + sign to drag.

Side Note

  • Be sure to click the + button and configure the Appointment Status so that Show on all calendar views by default and Include in payroll are the only options checked.


Creating the All-Day Appointment

  • After creating a custom Appointment Status, go to your Calendar.

  • Click on a space on your calendar.

  • Search for the name of the fake appointment. In this example, it will be called Daily Shift.

  • With the appointment sidebar opened, change the Appointment Status to the one you created.

  • Set the start and end time for the full shift. Example: 9:00 AM – 5:00 PM.

  • Assign the relevant cleaner or office staff member.

  • Click Create Appointment.
