How to Give a Member of Your Staff Office Manager Access

Learn how to assign the Office Manager role to a cleaner in ZenMaid, manage their permissions and visibility settings, and understand the access differences between the Office Manager and Cleaner roles.

Summary

  • When cleaners perform office or administrative work, they can be given the role of Office Manager, which grants them access to more features than the regular Cleaner role.

  • Despite having access to more features than the Cleaner role, this role can also have limited access.

Important

  • If you have more than one Office Manager, they will all have the same permissions. It is not possible to grant permissions to one and exclude another.

  • Office Managers have similar permissions to the account owner, except for closing the account, which can only be done by the account owner.


Giving a Member of Your Staff Office Manager Access

  • From the ZenMaid Dashboard, locate and click on the Cleaners icon.

  • Find your cleaner's name on the All Cleaners & Office Managers page and click on it to open their profile.

  • Use the Actions button and click on Edit.

  • Check the "Allow this cleaner to sign in using their email and view their schedule?" box so the additional options appear.

  • Tick the "Is this cleaner an office manager?" checkbox.

  • Lastly, click on Save Changes.

Side Note

  • You'll know the change was successful because their profile will now have the role of Office Manager instead of Cleaner.


Managing Permissions & Visibility Settings

  • The Office Manager role can be granted certain additional permissions, such as exporting account information and viewing/changing appointment pricing.

  • On the left side menu, click on the Settings icon.

  • Click on Cleaner permissions under the Cleaners section.

  • Using the checkboxes under Appointment prices, select the permissions you want to grant your Office Manager, and be sure to save changes before leaving the screen.


Additional Information

  • Office Managers also have access to Payroll.

  • Office Managers can view the ZenMaid account dashboard when using a browser on a computer. The dashboard is not available in the mobile app, but the owner can access it from the app.
